Electronic Signatures on Waivers

The waiver is a critical component of the rental process, serving multiple purposes:



  • Collecting Customer Data: Gathering essential information about the customer.
  • Rider-Specific Information: Capturing details for ski or bike setup.
  • Agreement to Terms: Ensuring customers agree to your terms and release of liability.
  • Group Structure and Workflow: Organizing group details, including the leader and members, and managing data in an orderly fashion.



There are three primary use cases for electronic signatures:


  • Emailing a Waiver: Send a reservation or waiver to a customer for electronic signature capture.
  • Online Booking: Integrate signature capture in-store or into the online booking process. - see here.
  • In-Store Signature: Collect signatures when customers visit your store, either via a tablet or self-service kiosk.




Features and Requirements 


1. Sending Client Records to a Tablet for Signature


Steps to Transfer Records:

  • Open the reservation in your system.
  • Select the 'More' menu.
  • Choose the 'Sign Waiver' option.


Alternatively, you can initiate this process directly from the Customer record.



Once the record is on the tablet, the customer can provide additional details and sign the waiver.



Access Control:


To ensure only authorized tablets receive client information, register the tablet in kiosk mode with your system. This will enable it to receive records when you use the 'Electronic Signature' button.


2. Branding


Customize the self-registration forms with your company’s branding, including the logo, store name, and other relevant elements.

You can tailor the registration forms to your needs by specifying:

  • Which fields are visible.
  • Which fields are mandatory.
  • The names of the fields.
  • Grouping fields logically, such as 'Address,' 'Personal Details,' and 'Skiing Information.'



4. Storing and Archiving Waivers


Store and access a historical record of signed waivers, including:


  • The content of the signed waiver.
  • Terms and conditions.
  • The customer’s signature.
  • Metadata like MAC and IP addresses, and timestamps.


To view this information, go to the Reservation History (Events menu) in your booking system. To see the invoice with the electronic signature, click the Print button and select "Include Waivers."



5. Group Handling


Efficiently manage group registrations, including handling minors differently.


Types of Registration:

  • Support different registration types, such as group leader, group member (adult/minor), and individual.
  • Use icons to represent each registration type and ensure smooth processing for groups.
