Finding the bookings a particular bike has been on
If you need to know who had a specific bike — because something has come back damaged, or a customer has left something behind, or you simply want its recent history — you can search your reservations by the item itself.
How to do it
- Go to Reservations → Manage Reservations. (If your store uses the new Planner, you'll find this as Planner → Legacy Reservations.)
- Choose the Search mode tab.
- In the Detail search panel, click the Item ID button. Its tooltip reads "Item ID: Reservations for a specific item".
- Type the bike's store reference or its barcode into the search box — either will work.
- Press Search.
The results list every reservation that bike has been on, with the Customer name alongside the reference and the hire dates.
Two things that catch people out
- Check your date range. If the search panel still has dates set from a previous search, you'll only see reservations inside that window. Clear or widen the dates to look further back.
- Cancelled bookings are hidden by default. If you're looking for a booking that was cancelled, turn on the option to include cancelled reservations.
If nothing comes back
If you see "No item found with ID", the reference you typed doesn't match any item. Check it against the item in Inventory — it's easy to confuse the store reference with the ID shown elsewhere. Remember you can also search by barcode.
Note that this finds bookings where that specific bike was allocated. If a booking was taken but never allocated to a particular bike, it won't show up here.

The item's own page in Inventory has a history button, but that is service history (maintenance work) rather than rental history, so it won't answer this question.
