Setting up maintenance tasks

A maintenance task is a saved template for a job your workshop does often, like a brake bleed, a new tyre or a full service. Set them up once. When a mechanic logs a service, they pick the task, or scan its barcode, and BRM fills in the details for them.

What a task saves you

Each task holds a service note, a cost of parts and a time in minutes. Picking the task copies all three into the service entry, so nobody has to type them out each time.

Add a task

  1. Go to Settings → Maintenance → Maintenance Tasks.
  2. Click Add new.
  3. Fill in the fields:
    • Barcode: a short code for the task, like .brakes or .full. Codes start with a full stop (.) so hands-free mode can tell a task from a bike. If you leave the full stop off, BRM adds it for you. You can't change the barcode after you save, so choose carefully.
    • Name: what staff see in the Task Type list, for example "Brake bleed".
    • Description: this becomes the service note on the item's service record, for example "Bled front and rear brakes, checked pads".
    • Time (mins): how long the job usually takes, in whole minutes.
    • Cost: the usual cost of parts.
  4. Click Save. The task appears in the list.

Edit or delete a task

  • Edit: click the task in the list, change the name, description, time or cost, and click Save. You can't change the barcode. To use a different barcode, create a new task and delete the old one.
  • Delete: use the task's Delete button in the list and confirm.

Editing or deleting a task doesn't change service records you've already saved. Each record keeps its own copy of the note, cost and time.

Use a task when logging a service

  1. Open the item, for example a bike, and go to its Maintenance tab.
  2. Click + service entry.
  3. Choose the task from Task Type. BRM fills in the service note, cost of parts and time.
  4. Change anything you need to, add the parts used, and click Save.

Good to know: choosing a task replaces anything already typed in the service note. Pick the task first, then add to the note.

Use a task by scanning

If you print your task barcodes, mechanics can log a job with two scans in hands-free mode:

  1. Turn on hands-free mode.
  2. Scan the item's barcode. BRM opens the item's page.
  3. Scan the task's barcode. BRM creates the service entry and saves it straight away.

Task barcodes only work on an item's page, so always scan the item first.

What saving a service entry does

Every saved service entry, whether picked, typed or scanned:

  • marks the item as Ready, so a broken bike can be rented again
  • resets its service points to 100
  • adds the entry to the item's service history

Tips

  • Keep barcodes short and easy to read, like .tlc for "tyres, lube, chain".
  • Don't create two barcodes that differ only in capitals, like .Full and .full. Scanning ignores capitals, so it can't tell them apart.
  • Pin a printed sheet of task barcodes up in the workshop so mechanics can scan from it.
