On the new Notifications page you can set your emails differently for a whole service, such as all repairs bookings, or for a single offering. You can choose whether an email is sent for it, and give it its own wording in each of your store's languages.
Your settings take effect as soon as you save them. The next email for a booking of that service or offering uses them. Bookings for anything you haven't set still get your store default emails.
This needs the new Notifications page. See How do I set up my booking emails on the new Notifications page?.
When your changes take effect
Straight away. Emails that have already gone out aren't changed; the next one for a booking of that service or offering uses your new settings.
The Store defaults table shows where a service or offering has its own settings. For example, a row may say Custom wording for: Workshop or Off for: Workshop.
Find a service or offering
- Go to Settings → Notifications.
- In the list on the left, Notification settings for, choose:
- Store defaults: every booking (see the overview article).
- All rental bookings, All repairs bookings, All tours, activities and events bookings or All appointments bookings: every booking for that service.
- An offering, listed under its service.
On a phone or narrow screen the list is a menu button labelled Notification settings for.
You can also start from the offering itself: go to Services → Service Management, open the offering, and click Notifications (Emails for its bookings).
Why isn't my offering listed? An offering is listed when its service has two or more active offerings, or when it already has its own settings. If it's your only offering for that service, set All … bookings instead; the page tells you so if you follow a link to it.
Read the table
Each service or offering has a table of its emails, with columns Message and Email. Which emails appear depends on the service. Repairs, for example, have Repair quoted and Repair complete, and your shop gets Customer approved quote and Customer declined quote.
Each email shows two chips.
Sending:
- Sending
- Not sending · off for customer and shop in Store defaults
- Not sending · off for all … bookings
Wording:
- Custom wording: this service or offering has its own wording.
- Uses … wording: an offering using its service's wording.
- Standard wording or Uses store default email: nothing has been customised.
- Incomplete — … missing: custom wording is missing for one of your languages.
Under the table, Text messages for these bookings says Coming soon!.
Change whether an email is sent
- Choose the service or offering, then click Edit on the email.
- In the Sendingcard, choose:
- For a service: Sending, or Not sending for all … bookings.
- For an offering: Same as all … bookings, Don't send for [offering], or, only while the whole service is off, Send for [offering] anyway.
- Click Save.
Turning a booking email off for a whole service asks you first: Stop this email for all … bookings? Click Stop sending to confirm. It stops the email for both the customer and your shop's copy, and for a cancellation it covers every kind of cancellation.
Give an email its own wording
- Choose the service or offering, then click Edit on the email.
- In the Wording card, choose Write custom wording.
- There's one tab per language. In each, write the Subject and Email text. Use Merge fieldsto add details such as the customer's name or the booking reference.
- In booking emails, your text appears above the booking details, which every booking email includes.
- A repair quote must keep {{quoteactions}} (the Approve and Decline buttons).
- Check the preview, which uses sample customer and booking details.
- Click Save. You'll see "Saved the … email settings for …".
To undo your changes before saving, click Discard changes.
Write every language
If custom wording is missing for one of your languages, the email shows Incomplete and the page says what those customers would get instead. Add the missing wording, or choose Use inherited wording.
When a customer's language has no wording at this level, BRM looks for wording in their language first: on the offering, then on All … bookings, then the standard wording or your store default email. Only then does it use your store's language.
Custom wording replaces the store default
Custom wording on a booking email replaces your store default email for those bookings. Later changes to the store default email won't reach them.
Put it back
To return an email to how it was:
- Open the email for the service or offering.
- Under Sending, choose Same as all … bookings (offering) or Sending (service).
- Under Wording, choose Use inherited wording.
- Click Save. Saving with Use inherited wording removes the custom wording.
Good to know
- Test emails always show your store default. Send test email is on the Store defaults editor, not on service or offering emails.
- Inactive offerings are listed with "Inactive — settings still apply to existing bookings".
- If saving says "You don't have permission to change notification settings.", ask a user who manages your settings.
